These Terms & Conditions explain how bookings, payments, cancellations, insurance, and responsibilities are handled. They are designed to protect both our guests and our company, ensuring a smooth, secure, and enjoyable safari experience.By confirming a booking with Rhino Sunset Safari, you acknowledge that you have read, understood, and agreed to the terms outlined below.

 

1. Acceptance of Terms

By booking a safari with Rhino Sunset Safari (Rhino Travel), you confirm that you have:

• Read and understood these Terms & Conditions

• Agreed to comply with all booking procedures, payment schedules, and policies stated herein

These terms are intended to ensure fairness, clarity, and professionalism for all parties involved.

 

2. Booking Process

Your safari booking is considered officially confirmed only when:

• You have approved the final itinerary and total price in writing

• You have paid the required deposit

Once confirmation is complete, Rhino Sunset Safari will provide:

• A written booking confirmation

• A registration form requesting traveller details (passport copies, dietary requirements, rooming preferences, emergency contacts, etc.)

Only requests submitted in writing via the registration form or official email correspondence are considered part of your confirmed booking. Verbal requests or informal messages cannot be guaranteed.Rhino Sunset Safari reserves the right to decline or cancel a booking prior to final documentation if it poses operational, safety, or compliance concerns.

 

3. Price Guarantee

We strive to maintain stable pricing once your safari is confirmed. However, prices may be subject to adjustment due to factors beyond our control, including:

• Government increases in park fees, conservation fees, or taxes

• Significant fuel cost increases affecting transport

• Major exchange rate fluctuations between USD and supplier currencies

• Supplier or system errors that result in clearly incorrect pricing

Should any price adjustment be required, you will be informed immediately. No additional charges will be applied without clear explanation and your approval.

 

4. Payment Terms & Flexible Payment Plan

Rhino Sunset Safari offers a flexible, client-friendly payment structure, particularly suited for advance bookings and peak travel seasons.

Step 1 – Initial Deposit (10–20%)

• Due upon confirmation of your safari

• Secures safari dates and initiates reservations for accommodation, flights, park fees, and vehicles

 

Step 2 – Second Payment (20–30%)

Due 2–3 months before the safari start dateAllows finalisation of:

• Domestic flights

• Lodges and camps

• Park permits

• Safari vehicles and logistics

 

Step 3 – Final Balance (Remaining Amount)

Due 5–10 days before the safari begins, Upon receipt, we will issue:

• Final safari itinerary

• Domestic flight tickets

• Pick-up and meeting instructions

• Safari preparation documents

• Bank Transfer

• Credit / Debit Card

• Secure Online Payment Link (Pesapal)

• Payments accepted in USD, EUR, GBP, or TZS

Note: Any bank or processing fees are the responsibility of the client.

 

5. Late Payment Policy

All payments must be completed by the deadlines specified on your invoice.

In the event of late payment:

• A 3.5% late fee may be applied to the outstanding balance

• Lodges, flights, or park reservations may be released by suppliers without notice

• The booking may be treated as a cancellation under Section 6

To avoid complications, we strongly recommend full payment at least 14 days before arrival. If payment challenges arise, clients are encouraged to communicate early  Rhino Sunset Safari is happy to discuss reasonable solutions.

 

6. Cancellation & No-Show Policy

Safari services are often prepaid and non-refundable. Our cancellation policy is therefore as follows:

20 days or more before safari start date:

• Refunds may be possible, less any non-recoverable supplier charges, bank fees, or penalties. In some cases, a travel credit may be issued instead of a refund, depending on supplier terms.

Less than 20 days before safari start date:

• 100% of the safari cost is forfeited.

Domestic flights:

• Once issued, tickets are non-refundable.  Airlines may apply penalties ranging from 50–100% of the ticket value.

No-show:

• Failure to arrive without prior notice results in no refund or credit.

📌 Comprehensive travel insurance with cancellation coverage is mandatory.

 

7. Changes to Itineraries

Changes by Rhino Sunset Safari

Occasionally, adjustments may be required due to weather conditions, road access, park regulations, or supplier availability. Any changes made will be:

• Of equal or higher standard

• Safe and suitable for the itinerary

Clients will always be informed in advance where possible. Such changes are a normal part of safari travel and do not qualify for refunds.

 

Changes Requested by the Traveller

Post-confirmation changes may incur:

• Administration fees

• Supplier amendment penalties

• Additional costs for upgrades or new services

All change requests must be submitted in writing.

 

8. Travel Insurance Requirement

All travellers must carry valid travel insurance covering:

• Trip cancellation or interruption

• Medical treatment and emergency evacuation

• Personal injury

• Loss or damage of luggage and personal belongings

Travel without insurance is undertaken at the traveller’s own risk.

 

9. Traveller Fitness & Conduct

Safari travel may involve early departures, long drives, uneven terrain, and close proximity to wildlife. Guests are responsible for ensuring they are physically and medically fit to participate.

Rhino Sunset Safari reserves the right to terminate a safari without refund if a traveller:

• Acts unlawfully or dangerously

• Endangers others or wildlife

• Causes serious disruption to the safari experience

 

10. Limitation of Liability

Rhino Sunset Safari is not liable for:

• Airline delays, cancellations, or missed connectionsFailures of third-party service providers

• Government actions, weather conditions, or force majeure events

• Additional costs arising from events beyond our control

Guests acknowledge the inherent risks associated with safari travel in wildlife environments.

 

11. Optional Activities

Optional activities such as hot air balloon safaris, diving, water sports, cultural tours, or spa services are operated by independent third parties. Rhino Sunset Safari is not responsible for their safety standards, refund policies, or operational decisions.

 

12. Legal Jurisdiction

All bookings and any disputes arising from them are governed by Tanzanian Law. Any legal proceedings must be filed within the courts of Tanzania.

 

13. Client Protection & Financial Security

• All supplier payments are made in advance to secure confirmed services

• Client funds are managed responsibly for operational purposes

• Mandatory travel insurance provides additional protection
